Track time

My Time

Log your hours against projects and see what your contract week still expects.

Where

Time → My Time (/time/my-time). The main Time entry in the nav also lands here.

Views

Switch between Day (default), Timesheet, and Calendar. Local settings can include Hide weekends, Round numbers, Show 24h (calendar), and Stop timer when no activity for (with a max of 24 hours on a running timer).

Timer

You can Start timer on a project selection, then Pause, Resume, or Stop & Save from the chrome when a timer is running. Only one timer at a time. A Work note is required before save / stop. Stopping saves the entry into My Time.

Log time

  1. Open My Time.
  2. Pick Project & service (and the day / cell), or use Scheduled in the left sidebar when something is already planned for you. Expand the project and choose a quote service/asset — not the project header. Services from quote sections (e.g. funnels) show as section · name (e.g. Funnel 1: nov, dec, jan · Camera Operator / DOP) so you do not need the funnel in the quote line name. That links the entry to the quote line and the matching project phase, so it shows under the right Time per section row (not Unassigned). Log on project only is at the bottom of the list (for internal jobs or when there are no services); that time shows as Unassigned under Time per section.
  3. Enter hours or use the timer. Add a Work note when asked (line 1 service/task, line 2 note, follow the on-screen format).
  4. Save (Add time).

Scheduled lists open work that is already planned for you: Resource planner tasks with a date, plus Crew & Services / Resourcing shoot and edit bookings. Travel stays on the calendar for planning only — log the day on the quote service (e.g. Camera Operator), not on Travel. Use + or the timer to fill that project line on the day you have selected in the calendar (the planned date stays visible as a label only). Closed / Done crew lines and completed tasks drop off.

Billable is automatic: client-linked projects are always billable; internal projects are never billable. The Billable checkbox is disabled, you do not pick it per entry. That feeds utilization and Billable target %. See How time works.

You need an active work contract with a usable cost rate. Without it, logging can be blocked. Dates can only go a limited way into the future (about 14 days).

Project hour budget caps (soft confirm or hard block) may warn or stop you when a project budget is full, Workspace time rules.

If workspace time rules lock you for open (unlogged) days, the lock message says which rule fired.

Project Time tab

On a project, the Time tab shows hours for that job. Use My Time for your personal week and targets.

Unassigned time

Time → Unassigned time has two tabs: Unassigned time (projects with hours that still need attribution) and By person (who logged the most of that time). An entry counts when it has no phase, no linked quote service, and no task — the same idea as Time per section → Unassigned. Hours already on a service or task do not count, even if the project phase field is empty (e.g. Delivered jobs). The Time nav shows a badge with how many projects need this. Open a project row to jump to that project’s Time tab with Unassigned (or No task assigned) expanded. Use Assign project & service… / Assign task…. When a suggested service, phase, or task matches the entry note, you see Suggested: with the name — use the check to apply or the X to dismiss (same idea as bank allocation suggestions in Finance). Suggestions also weigh the person’s job title (e.g. Editor → deliverables) and whether they are the assigned editor on a quote deliverable. Extra editor/job-title data loads only when you expand Unassigned, not on Overview.

Rejected time (managers)

If you can edit team time, open a project Time tab, expand Unassigned or No task assigned, and use Reject time entry. Enter why (wrong project, vague note, should be absence, etc.). The entry leaves that inbox (it is waiting on the logger). The person who logged it sees an amber banner on My Time with your reason (and a badge under Time → My Time). Managers track open rejections on Time → Review → Rejected. After they fix the note or move the hours and save, the rejection clears. Use Suggested: ✓ to apply a match, or ✕ to hide that suggestion only (not the same as rejecting).

Managers also get Time → Review: open rejections account-wide, plus Suspicious entries (vague notes or absence-like wording). In Strict review mode (Settings → Workspace time rules), use Submit week on My Time so a manager can approve pending hours. See Time review.

Things that trip people up

  • No active contract / cost rate: ask a manager for Team → Contract.
  • Trying to toggle billable by hand, it follows client vs internal.
  • Delivered / completed project: you see *This project is delivered. Reopen it before logging time.* Open the project and use Reopen, then log again.
  • Ignoring holidays: not a normal missing-log day.
  • Fighting a lock without reading open-day count vs oldest open day.
  • Leaving the timer running without Stop & Save.
